How to share a Hot List with your colleagues and other users or teams within your organisation.

How

1. Go to the Hotlist menu.

2. Select the Hotlist(s) you wish to share.

3. The Share button is at the top on the ribbon:


 

4. Click onto the Add user/team field and type in the name of the user(s) or team(s) you wish to share with:

 
 

 

5. Select the user(s) and/or Team(s) and allocate them the permissions you wish to give:

 

Permissions

Read = read only - i.e. that person/team can see your Hot Lists but cannot add or remove contacts.

Write = can amend the Hot List.

Delete = if the person has deletion rights in Mercury, they will be able to delete the Hot List if required.

Append To = this allows other users, who also have the Read, Write and Share permissions, to add an existing contact to the Hot List.

Assign = this will make the user/team the owner of the Hot List. There can only be one Owner of a record in Mercury.

Share = this gives permission for the user(s) to be able to share the Hot List to others.
 

 

6. Click onto Share at the bottom of the window:

 

7. Any shared Hot Lists will be listed in the Active Hot Lists view. If the Hot List is assigned to you, the Hot List will also appear under My Active Hot Lists, as the My is referring to the logged-in user seeing any Hot Lists where they are the Owner.
