All records can be deactivated or activated in Mercury.
The icon is on the top tool bar of each record:
When a record has been deactivated, it will become read-only. This means that no actions can be run from the record and it can no longer be edited.
As soon as this action is run, the Deactivate icon is replaced with the Activate icon. Notice the warning message that the record becomes read-only and can no longer be edited.
Deactivating a Vacancy
When a vacancy is lost, to close it you will need to deactivate the record. A status will need to be selected from the list provided.
Below are the status reasons that you can choose from:
Filled Vacancies
When a Vacancy has all of the positions filled (it looks at the No. Positions field on the General tab), the system will run timely checks and automatically close/deactivate it, changing the status to Won - All Positions filled. This will then remove these vacancies from the Active views and move them to the Closed Vacancies view.
When a record has been deactivated, it will become read-only. This means that no actions can be run from the record and it can no longer be edited.
As soon as this action is run, the Deactivate icon is replaced with the Activate icon:
If a vacancy is deactivated due to being lost or no longer required but you later hear back from the client and it becomes a requirement again, go back to the vacancy and simply use the Activate button.
NOTE: When a record is deactivated, it can no longer be found when using the search option at the top of the system. This search only shows active records. If a Contact is deactivated, they will not be searchable in the internal search function.
The best way to find deactivated records is to search via the Vacancy menus. Within the Search this View field, it will search both active and deactivated records.
The Closed Vacancies view specifically shows all of the deactivated vacancies.
TIP: If a Vacancy is deactivated, it automatically deactivates all associated shortlists. When activating a closed vacancy, be sure to activate the shortlists for any candidates that you wish to move forward in the process.
