New Broadbean v2 integration
Broadbean is the global leader in job advert distribution, and we have introduced a new integration with a greatly improved user interface and more comprehensive advert management that allows users to upload, edit and repost adverts to their preferred job posting sites.
The new integration for posting is now live and available. For it to be set up, Broadbean will need to redeliver the client via their Implementation team. Please contact your Mercury Customer Success Manager (CSM) who can help facilitate this process for you.
If you are a user of the existing Mercury and Broadbean integration, you can request an upgrade to the new version by contacting your CSM.
LogicMelon users can also integrate with Mercury - please speak to your CSM. For existing users, please see the All other New Updates section of these notes.
Create new Broadbean v2 config that shows or hides the Broadbean Tab - 30430

There is a config to show or hide the Manage Adverts tab in a Vacancy form to enable the new Broadbean v2 functionality.

New Org Chart Identify all key stakeholders and instantly see the quality of the relationships you hold
Microsoft originally scheduled this for release in October 2023, however, it has been made available ahead of time so you may already have access to this!

Map accounts, identify key stakeholders and use it in conjunction with LinkedIn Sales Navigator (Sales Navigator licence required).

See the ‘health’ of every contact so you can capitalise on your best relationships, but also address any which are in decline.

See when people move on or change roles within their existing organisation (subject to having a Sales Navigator licence).

How to enable the new Org Chart function
As a System Administrator, go to Admin > App Settings > Org Chart
Agreement Approvals Multi-level approval process. Capture issues such as discontinued fees before they reach your Clients!

As Placements near their end with a Candidate, it is important that the Recruiter can understand how likely it is that the Candidate will extend their Placement and continue working. We have added the ability to record this likelihood on a Placement, so that it can be viewed and reported on. Therefore, a new field called Likely to Extend has been added to Placement records to allow Recruiters to set an intention for the Candidate. This will only be shown for Contract & Temporary Placements.

When a Candidate is added to a Vacancy via the Candidates tab and then the New Shortlist button, a Shortlist Update will now be created. This will show on the Timeline of the Vacancy and the Candidate.
Contact Information on Placements
There are a lot of Contact ‘lookups’ on a Placement, where you can select either Client Contacts at the Client, or a Contact within that hierarchy, or a Contact who is connected. When looking at the list of Client Contacts, you don’t always know who works where.

When looking to populate one of the above fields, users will be shown the person's Full Name and their Current Client.
Contextual Last Contacted
On a Contact there are fields which indicate when that person was last contacted via Email or Phone. This is only for outbound communications. These Last Contacted fields would cascade up to the Client and update the appropriate fields. When contacting a person as Candidate, you do not want the Last Contacted fields to update on the Client. We have therefore made some changes to ensure the correct dates are rolled up to the Client, based on the correct context of communication.
Contextual Last Contacted on Client Contact - 37233

Specific fields to store data when a Contact was last contacted within a Client Contact context.
Where

How
When communication is sent to a Contact in a Client Contact context, a date & time stamp will be recorded along with who sent that communication.

The field called Last Contacted that appears on a Client record, will only be updated when outbound communications are made to the Contact at that Client, in Client contact context.

Placement Extension Date Format - 34853

When extending a Placement, this new update will ensure that the date format within Placement Extension is taken from the user's settings, so as to match the date format stored within the user's own settings.

Add Agreement on Approval Steps - 35271

The ability to select Agreement when setting up Approval Steps within Mercury. We’ve introduced the ability to set up an approval process on Agreements. This process can currently be found on Clients, Vacancies and Projects. We will potentially look to extend this onto other entities within Mercury. Users will have the ability to build a hierarchy of Approvals which can go to individual users or teams.
Where
The Support area of the Mercury Admin app, under Approval Steps.
How
When creating a new Approval Step, you can select the entity that this Approval Step is related to (you can select from Agreement, Client, Project and Vacancy). However, you must also choose whether this is the first Approval Step.
NOTE: There can only be one First Step for each entity. An error message preventing you from saving will occur if you try to add multiple first steps.
You must select who the Approval should go to - i.e. the Approval type - the options are as follows:

User’s Manager – this will be the Manager of the User (Owner of Client).

Specific Team – ability to select a specific Team the approval should go to.

Manager of User’s Primary Team – Administrator of the User’s (Owner of Client) Primary Team.

Named Individual – ability to select a specific individual the approval should go to.
NOTE: The User’s Manager and Manager of User’s Primary Team require a hierarchy to be set up accordingly within the customer's environment. If not set up correctly then an error message will appear.
If you select Specific Team you are required to select a Team:

You can build up a hierarchy of Approvals by selecting another Approval under Step If Approved. This list will be filtered based on the entity selected:
View Approval Status on Agreement - 35272

The ability to view the Approval Status on an Agreement.

On any Agreement record.
How
A new Approval Status field is visible on an Agreement, Client, Vacancy and Project record, confirming where this record is within the approval process. Values for this can be New, Pending Approval, Approved or Rejected. The visibility of this field is controlled by the relevant entity configuration file:

The ability to send an Agreement for Approval.

If a record is at New, Rejected or the Approval Status is blank, users will have the ability to Request Approval from the ribbon menu on that particular record, upon which, the Approval Status will be updated to Pending Approval, and the first Approval record will be created based on the Approval Steps.
Approve / Reject an Approval - 35278 & 35277

The ability to Accept or Reject an Approval for an Agreement.
Where
Within any Approval record in Mercury.
How
Once any Approval has been requested within Mercury, it will create the first Approval based on the criteria specified within the Approval Step. An Approval activity will be created for the individual or Team based on the first Approval Step, and will show on the Timeline for that particular record. Specific information will be displayed on the Approval record:
The majority of the fields are locked on the Approval activity to prevent direct updates to the Agreement record.
Owners or members of the Substitute Approvers team can Approve or Reject these approval activities from the ribbon menu:
If approved, the process will continue and try to find a next step and create the approval for that specific individual or Team. If there are no further approval steps, then the Approval status will be updated to Approved on the specific record.
The Status Reason of the Agreement, will be updated to Agreed.
Approval activity can be Rejected via the ribbon menu, which will update the Approval Status on the specific record to Rejected, which will result in the process being needed to be re-triggered.
Deletion of SharePoint location & documents upon deletion of a Contact - 34874

We've introduced new functionality that will automatically delete SharePoint locations and the files stored in those locations that are associated with a Contact record when the Contact record itself is deleted.

When deleting a Contact record within Mercury.

When a Contact is deleted and they have an associated SharePoint document location, the related document location(s), along with any contained files and folders, will also be deleted. Should the deletion not be completed successfully, a task is created for the owner of the Contact to effect/arrange manual deletion.
Software Fixes
Vacancy - selecting a hiring manager not restricted to Client contacts - 38376

Addressed a bug whereby when a user is selecting a hiring manager, the lookup includes both Candidate and Client contacts for the associated Client, when only Client Contacts are needed.

Parsing fails if text is too long for the field in Mercury - 38820

Fixed a bug where parsing was failing if the address values parsed from the CV were too big to fit into the associated Mercury fields.

Attachments are still linked to Timesheets that get deleted - 22030

Fixed a bug where if an attachment has been uploaded to a Timesheet and the Timesheet is then deleted and a new one with the same dates is created, the original attachments were still being retained and linked to the new Timesheet.

Delete and recreate the Timesheet in Mercury - the original attachment can still be seen in the Candidate Portal.

We are actively working on a new Mercury user interface which will deliver a more efficient and streamlined user experience. This update will bring a fresh approach to work, allowing users to accomplish more, with fewer clicks and less effort. One notable enhancement is the reduced sitemap which will offer a more consistent and visually appealing appearance across the platform.
Navigating the system will be more intuitive thanks to a reduction in the number of tabs required to access different features. The introduction of expandable records simplifies the process, enabling users to effortlessly access child accounts without the need for excessive tab switching.
Additionally, the new forms come equipped with dynamic on-screen calculations and a partial save feature, ensuring that users can easily save their work, even when interrupted by calls, meetings or interviews.
Finally, the new enhanced Shortlisting view with on-screen RAG (Red - Amber - Green) status, provides a more immediate overview of Candidate assessments.
